Orders and customer service

Orders out, questions answered, returns sorted.

We manage marketplace orders, buyer messages, returns and claims within each marketplace's deadlines, so your customers get answers and your account stays in good standing.

The problem

Marketplace customers expect fast answers, and marketplaces count every late dispatch, unanswered problem and unresolved return against you.

We handle the order flow and the customer conversations every day, inside each marketplace's rules, and only bring you what needs your decision.

Deadlines everywhere

On eBay, you have 3 business days to respond when a buyer reports a problem or asks to return an item. After that, they can ask eBay to step in.

Small slips, big numbers

On Amazon, a late dispatch rate over 4% or a cancellation rate over 2.5% on orders you ship yourself can lead to the account being deactivated.

Returns rules to follow

Customers who buy online can usually cancel up to 14 days after delivery, and you must refund within 14 days of getting the item back. Marketplaces add their own returns rules on top.

What we do

What's included. Done by the people you talk to.

Order flow

We make sure new orders reach your warehouse or fulfilment partner, dispatch is confirmed on time and tracking is uploaded. Amazon expects a valid tracking number on more than 95% of the shipments you send yourself.

Buyer messages

We answer questions before and after purchase in each marketplace's messaging system, using your product knowledge and policies. On Amazon, sellers who ship their own orders can also earn Account Health Rating points for response time.

Returns and refunds

We authorise returns, issue refunds and handle exceptions within the marketplace's rules and UK consumer law, and keep you updated on returned stock.

Claims and cases

We respond to Amazon A-to-z Guarantee claims and eBay Money Back Guarantee cases with the evidence needed. An A-to-z claim that isn't denied counts towards your Order Defect Rate, and an eBay case closed without seller resolution counts against your seller level.

Feedback follow-up

We follow up neutral and negative seller feedback through the proper channels, such as Amazon's Feedback Manager, to understand what went wrong and put it right.

Avoiding cancellations

Cancelling an order because something sold out counts against you on both Amazon and eBay. Stock syncs across every channel and your website, so you don't sell what you haven't got.

What you get
  • Orders confirmed and tracked on time, without anyone chasing them.
  • Customers who get quick, accurate answers.
  • Returns and refunds handled properly, within the rules.
  • Fewer defects, cases and cancellations counting against your account.
How it works

From first call to running.

1

Agree the rules

We agree your returns policy, refund limits, tone of voice and which questions should come to you.

2

Connect

We bring orders from every channel into one place and connect them to the way you ship today, or set up marketplace fulfilment such as Fulfilment by Amazon.

3

Run daily

We handle orders, messages, returns and cases every day, within each marketplace's deadlines.

4

Learn and fix

We report on common questions and return reasons, then fix the listing or product information behind them.

FAQ

Orders and customer service questions.

Do you pack and ship the orders?
No. Orders drop into your existing setup to pick, pack and ship like any website order. Or we set up marketplace fulfilment, such as Fulfilment by Amazon, where the marketplace stores your stock and ships it for you.
How quickly do you reply to customers?
Within each marketplace's deadlines, and we aim to reply well inside them. eBay gives you 3 business days to respond to a reported problem, and TikTok Shop scores how quickly you handle after-sales requests such as refunds and returns.
Who decides whether to accept a return?
You do, by setting the rules with us at the start. Within those rules we handle returns and refunds day to day, and anything outside them comes to you.
What are the legal rules on returns?
For most goods sold online, customers can cancel up to 14 days after delivery without giving a reason. You must refund within 14 days of receiving the item back, including standard delivery costs if they paid them. Marketplace policies can be more generous, and we follow whichever applies.
What happens if a customer opens a claim?
We respond with the order details, tracking and message history, and try to resolve it with the customer first. On Amazon, an A-to-z Guarantee claim that isn't denied counts as an order defect, so each one is worth handling carefully.
